Reports
By clicking the “Reports” tab, you can produce reports of your timesheets and expenses.
Report Types
Users have the option of creating a variety of different reports, examples of three frequently used reports which are shown on the next page:
- Expense by Person, Submission Date: This report shows the expenses for the selected time period and details of whether they have been paid. It is less commonly used.
- Expenses – Print: This report shows detailed expenses on the first page(s) and a summary on the last page. It is formatted to print on A4 and should be used if expenses need to be printed out.
- Timesheet by Person, Week, Project, Task: This report shows the timesheet details for the selected time period.
- Persons: will be your name - there is no choice unless you are an administrator.
- Clients: specify to see data for one specific client only or “All” clients.
- Projects: specify to see data for one specific project or “All” projects. This setting is remembered after navigating away and back to the reports page.
- Tasks: only applies to the timesheet report. Specify to see data for one specific task or “All” tasks.
- Tags: specify to see data for a specific tag.
- Press “Go” to generate the report.
Filters
Underneath the “Reports” tab are several filters that you can choose, the filters available vary between each of the reports as applicable:
- Report Type: choose the report you want to produce.
- Start Date/End Date: use the date pickers to select a range of dates.
- Date mode: Configurable on some reports to choose whether to run a report from the specified Start Date, or to always run from the first day of the week the Start Date falls on.
Note: for the timesheet report, the report will show 7 days for each week selected but dates before or after the range will have zero values.
Note: for the expenses report, the date range refers to the date the expense was submitted not the dates of the expense items themselves.
Printing and Exporting
In the resulting report there are several controls:
- Paging: type in a page number to jump to; go forward/back a page; and go to first/last page.
- Refresh: to reload the report.
- Zoom: Change the size of how the report appears onscreen.
- Export: a dropdown offers export to Word (docx), Excel (xlsx), PowerPoint
Expense by Person, Submission Date
(pptx), PDF, TIFF, MHTML, CSV, XML and Data Feed. PDF and Excel are the most commonly used.
- Print: A shortcut to printing straight to PDF.
- Search: enter a piece of text in the search box then use “Find” and “Next” to find occurrences of the text.
