Reports Tab
By clicking on the Reports button, you can navigate to the Reports page.
An Administrator is able to report on every project and every person. There are several reports available to the Administrator, giving different views of the data.
A popular Administrator report for billing is “Billing by Client, Person and Week. This shows internal cost for all projects and external costs for those projects which are chargeable (or billable). Also shown is whether the timesheet has been approved, and when and whether any expenses have been approved. Not all weeks will have expenses attached. Only those weeks with a non-empty Expense status field, have any expenses attached. Expenses are linked to the week in which they are submitted. This may be different from the weeks for which the expenses apply. This is because people often claim expenses sometime after the week in which they were incurred. The report shows the time unit (hours/ days) and the currency ($/£ etc.) as held in the Subscriber record.
All reports can be exported into Excel. (They can also be exported into PDF format, or printed but since they do not fit conveniently within a page width, this is not particularly useful). Excel format is recommended since it is easily editable, and columns can be removed simply to fit onto to single pages for printing. We do not want to restrict information in the report, simply because it does not fit onto a printable page.
Reports have multi-option filters. So rather than filtering a report for say just one client, you can filter for several. The drop-down is opened by clicking on the down arrow, and is closed again to re-clicking on it. The dropdown is intentionally long to reduce the need for scrolling when selecting multiple options. Furthermore, it stays open until you explicitly close it (by clicking the dropdown) so you can continue to see the options whilst looking at other filters, so several dropdowns can be open at once. All the dropdowns close down when the Go button is clicked. If any changes have been made to the ‘Projects’ filter, then these will be remembered after navigating away and back to the reports page.
You can select a number of individual fields in the drop-downs by holding Ctrl and clicking or a range by holding Shift and selecting two choices.
Once you have closed down the client dropdown, the options available in the Projects dropdown are immediately filtered to show just those projects associated with the selected clients. Similarly, once the Projects dropdown is closed, the Tasks dropdown is immediately filtered to show just those tasks associated with the selected clients.
By selecting a Project Manager from the dropdown, the filters are limited to what the selected Project Manager is able to see from the Reports page.
Contract Tracking Reports
The are three reports relating to Contract Tracking, these are:
- by Project – so Project Manager can check progress on a project, especially what is still to be allocated.
- by Person – so Project Manager can check allocations of individuals.
- by Week – so Project Manager can check the availability of people in a given week, in case a client needs work done that week.
