Resource Summary

  • This page allows the plan manager to set resource requirements by week.
  • The resource allocations can be viewed by week or by month, but the latter is read-only.
  • The page shows 13 weeks or 12 months/periods from a user-selectable date.
  • If a Window start date is selected which is not a Monday, PM3 will convert it to the previous Monday.
  • When looking at Month view, the first and last months will only show data which is both within the month and within the time window. For example, if your start week is Monday 30th April, your month view will show only the last week of April in the April total.
  • Data can be entered for Resource Types or for individual people, but in any one week-resource type, it can only be one or the other.
  • There are various columns per week in this page, including the standard Budget, Forecast and Actual, formula-based columns, and an availability column, derived from the admin page – Resource Capacity.
  • It is possible to show or hide rows (Resource Types and Resources). If you select the checkbox in either the view/hide resources dialog or in the dialog accessed from clicking the +/- on a resource type cell, then this will set the matching row to either be displayed or to be hidden. The hiding of rows works regardless of whether the row contains data. Bear in mind that hiding rows will not affect the on-screen totals, as these will include figures from all rows.
  • Budget fields are only updatable when the Workflow Status is Proposed or Active. In addition, it is also possible for admins (on the Admin > General page) to prohibit updates to all columns left of the red line (independently of Workflow Status).
  • Right-clicking a cell can provide options and keyboard shortcuts for faster data entry.

Resource – Fast Data Entry

On the Plan Resources page there is an option available to allow data to be added to multiple cells simultaneously, and can be accessed with the trident-like icon on the button ribbon at the top. The icon illustrates one value being replicated into several cells.

 

Usage

  • To set or clear the Demand for Persons, select the Person(s) and click the Fast Data Entry icon.
  • You will be greeted with a dialog that enables you to Fill or Clear Demands for the selected Person(s).
  • To Fill Demand: o Enter the number of days per week that the selected person will be allocated on this project.
    • Select the columns that you would like the Quick Data Entry feature to auto-populate.
    • Click the Fill button.
    • B. The Fill Demand feature will only fill empty cells. This is so that existing Demand for the Person(s) does not unintentionally get overwritten. If you would like to overwrite existing Demand values, please use the Clear Demand feature first or manually clear the cells that you wish to overwrite.
  • To Clear Demand: o After selecting the Person(s), select the columns that you would like to clear. o Click the Clear button. o This will clear all data for the selected Person(s) in the selected columns.

Points to note:

  • At least one person row needs to be selected first to use this feature.
  • Fast Data Entry is only available for Projects.
  • Fast Data Entry is only available in the Resources’ Week View and not the Month View.
  • In the Fast Data Entry dialog, you will notice that some column options are selectable while some are not. This reflects the displayed and hidden columns set on the Resources page.
