Portfolio

A Portfolio is simply a way of logically organising/grouping Plans. It is similar to an MS Office folder (other than the fact that Portfolios can be a member of more than one Portfolio). Similarly a Plan is similar to an MS Office document (other than the fact that a Plan can be a member (child) of another (parent) Plan and a member of more than one Portfolio).

Portfolios are either ‘Personal’ (which appear with grey icons) or ‘Organisational’ (which appear with cream icons).

Personal Portfolios allow you to build hierarchies of Portfolios in which you can organise your Plans logically (e.g. My IT Plans, My Business Plans). Organisational Portfolios allow PM3 Administrators to build hierarchies of Portfolios in which they can organise corporate/departmental Plans logically (e.g. Sales IT Plans, Sales Business Plans). Note that if a BCP Plan or a Programme Plan is added to a Portfolio, then its lower level plans (if any) are carried with it.

Organisational Portfolios can only be created, renamed, updated or deleted by PM3 Administrators. Personal Portfolios can only be created, renamed, updated or deleted by their Owners. Organisational Portfolios can only be added to

Organisational Portfolios and Personal Portfolios can only be added to Personal Portfolios. Note that PM3 Administrators cannot create or own Plans since they collectively ‘personify’ the organisation and there is no such thing as ‘an organisational Plan’, only Plans created by, and owned by, individual Creators that may, or may not, reside in

Organisational Portfolios. PM3 Administrators can, however, create Portfolios, which are always Organisational

Portfolios and are all owned by an owner called ‘PM3 Admin’ (irrespective of which PM3 Administrator created them).

When a licensed user X is added to the system a ‘special’ Portfolio is created called ‘X’s Root Portfolio’. All of user X’s

Personal Portfolios will be grouped under this Portfolio. Similarly the PM3 system is supplied with the ‘Organisational Root Portfolio’ under which all Organisational Portfolios are grouped. Root Portfolios cannot be changed in any way by users of the system.
