Partitions

If a person is in more than one partition, then a partition dropdown is always visible at the top right of all PM3 pages. From this dropdown, the person can choose what partition they are working in. You can only work in one partition at a time, and you can change partition by simply selecting a non-selected partition.

Putting things in Partitions

  • When you create a portfolio, it is automatically placed in your current partition. o When a partition is created, one portfolio is automatically created in that partition. It is named after the partition, and is under the Organisation Root portfolio.
    • You can change its name.
    • You can create additional portfolios for the partition, directly under the Organisation Root portfolio (or within any portfolio you can see).
    • You cannot move portfolios between partitions.
  • When a user is added to a Partition, s/he automatically gets a separate Personal Portfolio in that partition.
  • A plan inherits its partition from the portfolio it is in. (It is always in at least one).

Sharing Plans Between Partitions

Ordinarily a plan is in just one partition, even if it is in several portfolios. That is because, most of the time, you are working exclusively in one partition. In this case, plans are private to individual partitions. However, there may be cases where you want to share plans between partitions, for example, for global reports. In this case, we can share plans between partitions. Note that shared plans are not copies – they are shared. So a change to such a plan in one partition will be seen in all partitions.

In order to share a plan with another partition,

  • go to Plan>Details and click Add in the Plan’s Portfolio Membership This opens the dialog below.
  • If you are a member of more than one partition, the partition dropdown is visible, from which you can choose which partition to search.
  • If you select a portfolio in another partition, the plan will be added to that portfolio and it will appear in the Portfolio Membership box in italics (to indicate it is from another partition).

 

When looking at the Portfolio Membership box in Plan>Details, there must be at least one portfolio in your current partition. You will get an error message if you try to remove the last such portfolio. If you need to do so, you must switch to another partition.

  • In the example above, to remove the plan from Organisation’s Root Portfolio, you need to move to the partition of the P_X Portfolio.

When plans are shared across partitions, it is possible that the plan has Team members from more than one partition. In this case, references to such people are visible wherever they occur, even if the Person referred to, is not in that partition. So if a plan is in partition A and partition B, and has a team member who is only in partition A, then a project manager looking at the plan whilst in partition B, will still see the name of that team member who is only partition A. (He won’t be able to modify that person though).
