Lessons Learnt
- The Lessons Learnt facility (under the Plan Definition tab) allows you to: o Document lessons that have been learned by experience
- Search for lessons published in other plans o Import such lessons to a current plan, so other team members can refer to them.
- At the beginning of a project, you will want to find out about lessons in plans like the one you are about to start. You can find such plans by performing a text search across all plans (excluding the one you are in).
- Click the Import Lessons icon
to open the Search dialog. The search will return all Lessons from all plans which have a field on the Plan Details page which contains your search string.
- You can control which fields are searched by clicking the Select search fields
- Categories can be added to a Lesson by typing in the Add Category box then clicking the + button (or simply selecting a value from the dropdown). It goes blue when it has been added to the Lesson. You can add as many as you want to help identify the type of lesson you are creating. It helps other users find your Lesson.
- The Category dropdown is dynamic in that it filters items, showing just those which match what you have currently typed in. If nothing is entered, it shows the top 9 unless you select Show All, visible after you have clicked in the dropdown box.
- In addition to a text search, you can also perform a Category search which is basically a key word search. o To search for a Lesson in a Category, in the search dialog, add Categories in a similar way they were added to a Lesson. Then click Search.
- If in your Search dialog, you have both text and Categories specified, the search will return all Lessons whose Plan Details match the Text or whose Lesson Category matches the Category search list.
- Lessons can be marked as positive or negative as shown by the Red and Green +/- icons. This indicates whether the lesson allows you to can gain benefits or avoid problems. Click the Green/Red icon at the top right of a Lesson, to toggle this setting.
- Next to that is a flag which you can use to mark a Lesson as Key or not.
- If having found a Lesson in the Search dialog, you want to import a lesson, you can do so via the “Import” button at the base of the search dialog. This brings into the plan those Lessons which you have checked (in their checkbox) in the Search results.
- Many new plans may want to import a given Lesson from an original plan. For this reason, Searches do not return imported plans (since they are duplicates). However, if you have changed the text of an imported Lesson, this is considered a new Lesson and is visible in searches once again as a separate entity.
- You can Print a Lessons Learnt page and there are 2 new Lessons Reports in the Governance section of the Reports tab. In the case of Programmes or BCPs, the report can optionally include the Lessons of child plans. Use the Cog icon to control this reporting depth.
Lessons can be uploaded in bulk from an Excel file. This is available under the Admin > Tools (Cog) menu. As usual, you can download a template from there to see the format required for the upload. The upload process will check the import file in any case before loading and will only load in data if every row in the file is correct.
