Impact Assessment
- These Assessment Types created by Admin are available for use by all projects. When shown in a project, the mandatory and Custom fields are shown together on the one page.
- Assessment types are visible in the dropdown, those not in use are styled blue.
- A user can import a single Assessment type, leaving other types in the plan unaffected.
- You can also re-import an Assessment type already existing in the plan, say, if it has been updated by the Admin. This is achieved by selecting the Type to be replaced and clicking Get Latest Version.
- In the numeric fields (Severity, Likelihood), you can type numbers directly in, or step up or down in increments; some browsers (e.g. Chrome) show up and down arrows, others (e.g. Edge) allow you to use up and down arrow keys to step up and down the list of numbers.
- The Score is calculated automatically (by multiplying Severity by Likelihood). Optionally this can be overridden. These individual question Scores add to the overall Impact Score for the Assessment (top left) using the calculation specified in the ? icon adjacent. This score too can be overridden.
- RAG status both for questions and overall are set manually i.e. there is no calculation rule. The same applies to the Overall Impact Assessment Rating (top left).
- Commentary - some browsers (e.g. Chrome) will allow you to extend the size of the commentary box by dragging the lower right corner.
Assessment Approval
- The Approved By field is a free text specifying the people who are to approve the Assessment. Normally we recommend supplying a list of email addresses separated by “;” as would appear in an Outlook email list.
- When the Project Manager clicks the Send for Review icon at top, an email with the Assessment data, is sent to the Project Management Office (PMO) as specified in the Admin >
GATEWAY_REVIEWER_EMAIL field. The PMO then manages the process of approvals with the specified approvers via normal email communication outside of PM3, and when complete, updates the Commentary and Status fields within PM3.
- The status will change from Draft to Awaiting Approval. The assessment is locked but can be unlocked by clicking Make Amendments button (which only appears after the Assessment has been sent for approval).
- Unlocking sends an email to the PMO informing them that this has occurred.
- An Admin user viewing this page can see an Approve button which can be used once she has collated all the information from the multiple Approvers. o Again, on setting the Status to Approved, the page is locked but can be unlocked as before by the Plan Owner, and again an email is sent to the PMO to inform of the change.
- A copy of the Assessment is attached to the page as an Archive upon sending an assessment for review. This option can be toggled via the checkbox in the top right.
