Exporting from PM3 into Microsoft Project
Exporting from Milestone Plan or Gantt Page
When you click the Export icon on either the Milestone Plan or Gantt page in PM3:
-
The system generates an XML file containing project information.
-
The file is saved to your Downloads folder.
-
The filename is based on the Plan Name.
Types of Export Options
There are three different export icons, each exporting a different subset of the project data:
Export Type | Includes |
---|---|
Key | Workstreams + Key Milestones + Dependencies |
Milestones only | Workstreams + All Milestones + Dependencies |
All | Workstreams + All Milestones + Tasks + Dependencies |
Opening the Export in Microsoft Project
To view the exported file in Microsoft Project:
-
Open MS Project
-
Go to File > Open
-
Navigate to your Downloads folder
-
Select the most recent XML file
MS Project will then prompt you to choose how to load the file:
Option | Behavior |
---|---|
New project | Uses the Unique IDs (UIDs) from the PM3 export file |
Append | Ignores the UIDs and generates new ones for the imported items |
Merge | Uses the UIDs from the file, allowing synchronization with PM3 |
⚠️ Important:
To ensure future syncing from MS Project back into PM3, do not use the Append option.
PM3 depends on unchanged Unique IDs to maintain data consistency across systems.
Exported Item Order
-
Items in the export will follow the default PM3 page ordering (as seen after a Refresh).
-
You can set your desired default order by:
-
Arranging items on the page
-
Clicking the ‘Save Order’ icon in PM3
-
