Alerts

Whenever a notification of an Action is sent internally within PM3 this may now also be sent by e-mail as an Alert, in the following situations:

  1. When a new Action is created: Alert e-mail is sent to Assignee.
  2. When information on an Action is changed (change of Assignee, Action Status, Action Delivery Status, Due Date or Action Priority): Alert e-mail is sent to Assignee.
  3. When an Action becomes overdue: Alert e-mail is sent to Assignee and to Raiser.
  4. When a Milestone becomes overdue and there is a Milestone Owner: Alert e-mail is sent to the Milestone Owner and the Plan Owner (Note: if these are the same person only one Alert is sent).
  5. When a Task becomes overdue: Alert e-mail is sent to the Assignee(s) and the Task’s Raiser.
  6. When a Risk has text logged in the ‘Avoidance/Mitigation Action’ field: Alert e-mail is sent to the Risk Owner.

For promoted Risks and Milestones, there are no actions created for these on the promoted plan’s action log. Additionally, no alerts are sent out to the promoted plan owner if they become overdue, or if any changes are made to them on the promoted plan.

Alert e-mails are batched up and sent out only every 3 hours (this value can be changed by BestOutcome).

Two levels of Alert controls are provided:

  1. At the top level, Admin can disable or enable Alerts on a per-Person basis on the Licences page. If a Person has Alerts disabled on their Licence, then no Alerts are ever sent to this Person.

By default (i.e. when adding a new Person) all Persons have Alerts enabled.

  1. At the Plan level, the Owner of the Plan can set the Receive Alerts flag on individual people in the Roles and Responsibilities page as follows:

If Admin has set this Person to not receive Alerts, the Receive Alerts field will be unchecked and cannot be edited by the Plan Owner.

If Admin has set this Person to receive Alerts, the Receive Alerts field can be edited by the Plan Owner as necessary. The Owner can update the email address of unlicensed (OO) users only.

NB: from the moment when Alerts are enabled at Plan Level the Person will receive any Alerts that have been created during the last 2 days (this value can be changed by BestOutcome).

By default (i.e. when adding a new Person to the Plan) Alerts are disabled.
