Notifications

  1. This section is for Admins to manage Broadcasts (immediately sent messages) and Reminders (scheduled messages).
  2. The Create a Scheduled Notification icon in the Tool Ribbon will open a dialog to create a message which gets added to the main table, where you can edit it further if required. Scheduling of messages can include automatic regular resending, e.g. reminding Project Managers to update their Progress each week.
  3. The Send out a Broadcast icon, will open a similar dialog, without the schedule component. The Broadcast message will be sent straight away, but it is still added to the table below (with the scheduled datetime set to the time the broadcast occurred), so you always have a full record of what was sent.
  4. Either record type (Broadcast or Scheduled) can be deleted as required.
  5. The Cog icon allows you to see Broadcasts and Reminders which are no longer current – again so you can maintain the history if required, without it getting in the way of current messages. Messages become Historic the day after they have been sent for their last scheduled datetime.
  6. You can move messages from Historic to Current, simply be resetting their scheduled date to some future date.
  7. All Messages are received as Notifications within PM3 (the bell at the top right of the screen) and as emails.
  8. Recipients are chosen by selecting a distribution list. The Distribution List dialog provides a very flexible and powerful way of defining convenient lists of recipients.

Distribution Lists

  1. The Distribution List dialog allows the Admin to create and edit Distribution Lists – a list of recipients currently used only for Notifications, but which will later be extended for Reports and other areas within PM3.
  2. A distribution list can be built up from
    1. A selection of people already registered in PM3 – they don’t have to have a license. Users in one or more UI Groups
    2. The team members of one or more Plans
    3. The team members of one or more Portfolios
    4. Any combination of the above.
  3. Using Distribution Lists
    1. To create a new Distribution List, click the New List button, or to edit an existing List, choose from the dropdown on the left.
    2. Then choose which individuals or groups you wish to add to the List.
    3. The new List is available in the Recipient Group dropdown on the Notifications page.
    4. You can then reuse that Distribution List to receive notifications and broadcasts on a regular basis.
