Licences

The PM3 Administrator is the only user who is able to manage Licences for the system. There are various different actions that an Administrator can take for licencing, shown in the top ribbon bar.

Add a Person

The first action is to add a Person to the system. By clicking on the person icon with a + button, the system will take you to a data entry screen, shown below.

In order to add a new person to the system the Administrator must provide some basic details, Username, Forename, Surname and email. You must then set the password as per the minimum security requirements for the user. The Email must be unique. The next two dropdown menus determine what type of user the new person will be.

The different types of licences in PM3 are:

  • Admin Reader (AR) – Read only access to PM3
  • Admin Creator (AW) – Full Admin access
  • No Licence (OO) – Unlicensed users cannot login into PM3 but can be referred to as Assignee’s in plans  
  • User Reader (UR) – Read only access to certain projects
  • User Creator (UW) – Read & Write access to certain projects
  • Team Member (UT) – For members of a project team, enables write access for certain elements of Tasks, Actions, Risks and Issues assigned to them.
  • Executive (EX) – Has AR licence privileges, with access only to certain pages (previously was a ‘virtual’ licence created from the UI Groups page)
  • Resource Manager (RM) – Has UW licence privileges, with possible access to all Plan, Portfolio, and Home pages, along with the resource-based Admin pages (previously was a ‘virtual’ licence created from the UI Groups page)
  • Partition Admin (PW) – A person is able to manage all the partition-specific admin settings (for partitions of which s/he is a member), but not any of the global admin settings.

When a Person is created with a non-OO licence, this will automatically set the First Licensed field (found on the table on the Licences page) to the current date. If a person was created with an OO licence, the First Licenced field will only be set when an admin assigns a license to them.

UI groups can be defined by the Administrator, further documentation can be found in the next section in the document under UI Groups.

A role can be also specified, the list of roles displayed in the dropdown will match the ‘Active’ roles on the Resourcing > Roles page. Note, if you are editing a person, and their Role is set to a role that has since been made inactive, then this role will remain selected until they are removed from the role.

The Type and Category dropdowns can also be populated with the desired Resource Type and Category.

The External Login and Azure ID fields related to SSO.

- External ID: If a user’s Login Name e.g. ‘John.Smith’ is different to the first part of the email address in the connected Azure Tenant, e.g. j.smith@company.microsoft.com, then the External ID field need to populated with ‘j.smith’. - Azure ID: If the user’s pm3 email address is different to the one registered in the Azure Tenant, then the Azure ID field should be populated with the Azure email address.

The user can also opt for the user to receive email alerts from PM3 by ticking the Enable Alerts box.

Password Change

To change a user’s password, find and highlight the user and choose the padlock with arrows icon on the top ribbon bar. You can now re-set the users password.

Unlock an account

If a user has exceeded the login retry count in pm3cloud, an admin must unlock their account for them. This is a new security measure we have added in a recent release in our constant efforts to improve the application’s security measures.

You can do this by clicking the “Unlock” button at the bottom of the Edit Person dialog on the licenses page:

Note that the button will only appear on locked users.

Inherit From

When setting up multiple users with the same licences PM3 allows the Administrator to inherit licences from another user. To do this highlight the person from which you would like to inherit from, then click the icon in the top ribbon with two people and an arrow. This will take you to a screen from where you can choose which people you want the data to be inherited onto. Hold control to select more than one person.

 

Plan Access

The final icon in the top ribbon bar is the key icon. This icon allows the Administrator to grant/revoke access to particular users to particular plans. First highlight the user you wish to grant/revoke access for. Once clicked into this page the four actions available are shown on the top right hand of the screen.

First you must highlight the plan in which you would like to perform one of four actions listed above. This will then autosave.

PM3BI Licence

PM3BI licences default quota has a maximum licence of 5. In order to view who has PM3BI enabled access go to Admin > Licenses and see the ‘Enable PM3BI’ column.

To enable a user to use PM3BI go to Admin > Licence. Select the user and check the ‘Enable PM3BI’ checkbox located at the bottom of the ‘Edit Person’ dialog. If all PM3BI licences are consumed the ‘Enanble PM3BI’ checkbox is disabled with a warning message.

PM3BI Key

For users where PM3BI is enabled (access granted), these users can generate a secure key on the “My Details” page.

When generate key is clicked the user will be presented with unique key which can be copied and then can be used to login to PM3BI in lieu of their PM3 username and password.

View Licence Type Availability

To view the number of users per Licence Type go to Admin > Licence and click on the ‘View Licence Type Availability’ link at the bottom left of the page.
